Privacy Policy

This is how we handle your personal information when you use getlooper.golf and the Looper apps we build for clubs and teaching professionals — written to comply with South Africa’s Protection of Personal Information Act (POPIA), and to actually be readable.

1. Who’s responsible

The responsible party is Pivot Agency (Pty) Ltd (registration number 2026/416259/07), the company that builds and operates Looper, registered in South Africa with its registered office at Airport Road, Plettenberg Bay, 6600. Privacy questions and requests: hello@getlooper.golf.

2. What we collect, and when

  • The club check: your name, club, role, WhatsApp number, email if you give it, and your answers — collected when you choose to see how your club rates.
  • Enquiries and feedback: whatever you send us by form, email or WhatsApp, including feedback you give during product testing.
  • Basic site analytics: aggregate usage data that doesn’t identify you personally.
  • In the apps: what a club or a teaching professional puts in — members or students, lesson notes, bookings — held for that club or Pro, who owns it. Where a Pro connects his Google Calendar, see section 8.

We don’t collect information about you from anyone else, and we never ask for more than the purpose needs.

3. What we use it for

  • Delivering your results and report — by WhatsApp and email, which you consent to when you start the check.
  • Responding to enquiries and following up conversations you’ve started.
  • Occasional Looper updates, only where you’ve opted in — every message carries a working opt-out, and stopping is one tap.
  • Improving the product, using feedback and aggregate patterns.

We do not sell your information. We do not share it with third parties for their marketing.

4. Where it lives

We run our systems on established service providers — including our CRM and messaging platform, whose servers may be located outside South Africa (including the United States). Where your information crosses a border it remains protected by our agreements with those providers and by safeguards substantially similar to POPIA’s, as POPIA requires.

5. How long we keep it

As long as the relationship is live, or as long as the law requires. If you’ve gone quiet and there’s no legal reason to hold your details, we remove them in our periodic clean-ups — or immediately, if you ask.

6. Your rights

Under POPIA you can ask us, at any time: what we hold about you, to correct it, to delete it, or to stop using it for direct marketing. Email hello@getlooper.golf and we’ll act on it promptly — no forms, no friction. If you’re not satisfied, you have the right to complain to the Information Regulator of South Africa (inforegulator.org.za).

7. WhatsApp, specifically

Results and updates arrive on WhatsApp because you ticked the consent box when you started — we record that consent, and the date. Reply STOP, or use WhatsApp’s own “stop promotions” control, and the marketing stops. Service messages you’ve directly requested (like a result you’ve just generated) are sent on the basis of that request.

8. Google Calendar, specifically

A teaching professional using Looper Coach can connect his or her own Google Calendar, so that the diary shows inside the app and lessons booked through Looper land in it. Connecting is a choice, it is made through Google’s own consent screen, and it can be undone at any time.

What we ask for. Two narrow permissions, and nothing else:

  • See your availability. We receive the start and end times of the periods you are busy. We do not receive event titles, guests, locations, descriptions or attachments — this permission does not carry them, so we could not read them if we wanted to.
  • Events on calendars you own. We create a lesson event on your own calendar when a student books, and we update or cancel the events Looper itself created. We do not alter events Looper did not create.

What we store. The authorisation tokens Google issues, held encrypted, and the identifier of the calendar you chose. Nothing else from your Google Account. Your free/busy times are read when they are needed to show availability and are not retained afterwards.

What we never do. We do not sell this data or transfer it to anyone, we do not use it for advertising of any kind, and we do not use it to assess creditworthiness. No person at Looper reads it — except where you have asked us to look into something, where the law requires it, or where we have to investigate a security incident or abuse.

Turning it off. Disconnect inside the app, or remove Looper’s access at myaccount.google.com/permissions. Either way we delete the stored tokens. Lesson events already in your calendar stay where they are — they are yours, not ours.

Looper’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

9. Security

Access to your information is limited to the people who run Looper, behind authenticated systems. No internet system is perfectly secure, but we treat club and member data the way we’d want our own club to treat ours — that standard is the product.

10. Changes

If this policy changes materially, the date above changes with it and the current version always lives at this address.
